Finance Assistant/Accounts Payable

 

Pay Grade: Based upon Experience


Period of Employment: 12 Months FLSA Status: Non-Exempt 


Reports to: Director of Finance


Supervised and Evaluated by: Executive Director of Instruction and Professional Learning


General Responsibilities: Responsible for completing payments and controlling expenses by receiving payments, plus processing, verifying, and reconciling invoices for the Division.

 

Essential Duties:

Essential Responsibilities: 

  • Prepares or assists in preparing various financial or administrative reports
  • Inputs data into the school division’s accounting system with speed and accuracy
  • Researches a variety of information for the purpose of providing information and/or recommendations and/or addressing a variety of administrative requirements
  • Maintains a wide variety of manual and electronic files and records (e.g. liability insurance, vendor payment documentation, etc.) for the purpose of providing documentation in accordance with administrative and legal requirements
  • Prepares vendor payments and handles and files financial correspondence and billing information for vendor payments
  • Processed division ordering and purchasing (i.e. instructional and operational supplies, conference registration, and lodging)
  • Provides effective and timely communication to all district personnel when assisting with obtaining information for reimbursements and all other documentation
  • Calculates, prepares, summarizes, posts, and reconciles accounts payable activities to detailed ledgers on and off the computer
  • Assist the Director of Finance with all aspects of the development and effective operation of the finance functions within the District
  • Communicate with the division’s bookkeeper for individual expense activities and expenses incurred by the school system
  • Undertaking general office, reception, and administrative duties, as required
  • Performs other related duties as assigned by the Supervisor

Physical Requirements: 

Must have the use of sensory skills in order to effectively communicate and interact with other employees and the public through the use of the telephone and personal contact as normally defined by the ability to see, read, talk, hear, handle, or feel objects and controls. Physical capability to effectively use and operate various items of office-related equipment, such as, but not limited to: a personal computer, calculator, copier, and fax machine. Some climbing, stooping, kneeling, crouching, reaching, standing, walking, pushing, pulling, lifting, grasping, and repetitive motions. Some heavy work requiring the exertion of 50 pounds of force occasionally to move objects may be required.
